This explains what personal information GetFullDiary collects, why, and what you can do about it. Short and plain, like everything else we do.

Who we are

GetFullDiary is a web design and advertising business based in Bournemouth, Dorset, run by Josh Rowland as a sole trader. We are the "data controller" for the information described here. You can reach us at hello@getfulldiary.co.uk.

What we collect

When you fill in one of our enquiry forms:

  • your name, business name and phone number
  • your answers to the questions in the form, and anything extra you choose to type in

When you email us, we get your email address and whatever you put in the message. When you become a client, we also keep what we need to do the work and invoice you, such as your business address, photos and content for your website, and access to any accounts you ask us to manage.

We never ask for card details through this website.

Why we use it

  • To reply to your enquiry and give you a price, because you've asked us to, before any contract.
  • To build your website or run your ads, to carry out our contract with you.
  • To send invoices and keep business records, because tax law requires it.
  • To follow up once if you enquired and went quiet, which is in our legitimate interest as a business replying to someone who contacted us.

We will never sell your details, and we won't add you to a mailing list unless you say yes.

Who else sees it

We only use services we need to run the business:

  • our website platform (Base44), which stores form enquiries and emails them to us
  • our email provider, for emails you send us
  • Meta (Facebook and Instagram), only if you're an advertising client, and only inside your own ad account
  • our accountant or HMRC, where the law requires it

Some of these providers may store data outside the UK. Where they do, they rely on the safeguards UK data protection law requires, such as the UK International Data Transfer Agreement or standard contractual clauses.

Businesses we contact

We sometimes write to trades businesses (by post, or by email if you're a limited company) to offer a free website mock-up. To do that we use business details that are publicly listed, such as on Google Maps, Checkatrade, Yell or Facebook: your business name, trading address, phone number and, where listed, your name and business email.

  • We use them because we have a legitimate interest in offering our services to local businesses.
  • We never send marketing texts, WhatsApps, social media messages or sales voicemails to sole traders unless you've asked us to.
  • If you'd rather not hear from us, just tell us (reply, call, or email hello@getfulldiary.co.uk) and we'll add you to our do-not-contact list straight away.
  • If you don't reply, we delete your details within 6 months.

How long we keep it

  • Enquiries that don't go further are deleted after 12 months.
  • Client records and invoices are kept for 6 years after we stop working together, as HMRC requires.
  • Your website content and photos are yours. We hand them back or delete them when you leave.

Cookies

This website doesn't use advertising or tracking cookies. If we ever add analytics, we'll update this page and ask for your consent first.

Your rights

You can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that's wrong
  • delete your information
  • stop using it, or limit how we use it
  • send it to you in a format you can take elsewhere

Email hello@getfulldiary.co.uk and we'll reply within one month. It's free.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to sort it out first, though.

Changes

If we change this policy, we'll update the date at the top of this page.
